Accommodation:

Accommodation > Manage Date > Select Croatia > Select Accommodation Loaded >  It only gives the option of 3 provinces (Gauteng, KZN and CPT). If a tour is loaded and it is linked to all provinces, all provinces should be displayed by accommodation to enable to generate correct rooming list.

Should a specific tour only depart from one province (EXAMPLE KZN), only KZN should be shown by accommodation rooming list to select as this is the only province guests can depart from. ??

I am now trying to change all dates on new site by tours and adding current room availability, costings etc.  I have tested Croatia, when I change room availability by back end, it only changes the amount of rooms under Cape Town, KZN and Gauteng on front end and not by all other provinces.

 

Excursions:

There are error codes on the document that is exported ei. Excursion List:  Warning: in_array() expects parameter 2 to be array, null given in / home / demo22…..etc

If driver and guide are selected by client list, they are not added to the excursion document?  I have checked and tried a few times

 

 

 

Client Export:

No lines on exported doc as per old site

Still no lines, it is difficult to read without lines

Reservations:

Current – select year

What happens if current tours are finished, how is this list updated, not all years can show, it will be an endless list – Would like to be shown how to do this if this has been corrected.

Select tour, select reservation, reservation details, won’t open client info if clicked on client ½ as with old site.

Drop down by client ½ shows all current loaded clients, we have 7 000 names displaying there, how do we search (quick search) to add a client, there is no function to do this as per old site. Can see that this is done, thank you.

If tour is cancelled and a refund amount is entered, does it pull through financially and where? Is this also linked to the annual reporting where expected and actual payments are shown? We work off this list to compare to bank statements and pastel.  Need clarity on this please?

All reservations on each tour, where do we add another reservation on this tour? Function added, thank you.

Users:

Client, drop down @ province required. Everyone enters different details which will cause reporting and exporting database confusing.  That is why I need it to be forced. Some type GP, other Gauteng others GPProvince etc. Function added, thank you.

 

I have asked this before earlier on these docs – where does it reflect on client profile what previous tours they have booked on in the past years and the status they have previously were (BOT18052018 – Cancelled) (NQ18082018 – Confirmed)…we need to be able to keep track of what they have done before and cancelled and confirmed and were on waiting etc.  Can’t see this anywhere??

The “where have you heard about us” option on each client profile needs to be a drop down arrow with selected fields as with old site.  Once again everyone enters different things which will cause reporting to be insane and all over the place. When given a few options as with old site, it makes the reporting clean, neat and easy to use.  Not done yet?

If a client is deceased, or blacklisted or too old to travel with us, where do we make them inactive so that when bulk mails need to be sent or information be posted that they don’t appear on active clients?  But we still need to go and view inactive clients with a reason why they are inactive? Need to be shown where this is, can’t find on new site.

Tours:

All our tours for 2017 have been archived and no information on each tour has been lost, each client booking, payment, note stays in the archive if we need to look it up.  As we build on information, where do we find the archived tours and how do we archive tours when we need to load example the 2020 tours when they are open for reservations?  We need to be able to archive tours one by one as we during the year have some tours of 2018 archived but some are still active and already have all 2019 tours loaded. ???

I have gone through the new site as much as I understand it, it is obviously functioning in a very different way than before but will be able to ask direct questions if you will allow me to ask the developer.  I need to know where information is all pulled through to etc so that all our reporting is as accurate as can be at all times. ???

Annual Tour Report:

Old new business report is still a clear page? Please give comment on this as it is unchanged?

Newsletter:

If a client subscribes to our newsletter on our front end, where does this information get sent to?  On old site under Media, there is a Client DB (database) and subscription export option. Everyone that subscribed to our newsletter was added to that subscription report, where does their information go now?

Online client reservations:

If a client books online from front end for a tour, where and how will we be made aware that a new reservation has come in?  What information is displayed to guests when they have submitted the information? The same as with old site? Do they get added to the client list immediately that we can edit the information?  I don’t want the guest to be able to view their own profile at this stage at all.

The online form displayed gives the option to select an agent, please let me know where these names are getting pulled from on back end as agents leave or new one’s get added throughout the year.  The tours they are linked to should remain unchanged but the option for clients on front end when making a reservation should be displayed with only active agents/reps.

Front end still displays all village information, only some fields need to be shown to client, the rest will be added by office.

 

How do I assign certain actions to certain users?  As safety precaution I don’t allow any of our staff to be able to delete a reservation or client details, only I can do this when logged in to my name.

Also not all staff can access our client database, how do I regulate this.

On old site I could do all this under the system tab.  I could assign certain pages available and certain actions to certain users.
